Close Checklist

Clinic & Kennels

  • Sweep and mop all floors
  • Empty all bins — surgery, blood machines station, office ×3, bathroom, laundry
  • Fill up freezers
  • Set up for any overnight dogs
  • Clean outside runs — scoop poo, remove bowls and towels for washing, clean and hang black/blue mats
  • Put food in fridge to thaw overnight for tomorrow's in-patients. Label each with patient name.

Reception & Systems

  • Wipe consult room tables
  • Complete end-of-day board update (see handover section below)
  • Turn phones to Night Mode
  • Turn off aircon in all rooms — walk through each one
  • Turn off dryer
  • Lock all doors — front, side, kennels, and chest freezer outside
Done looks like this
  • All floors mopped, no hair or debris
  • All bins emptied and relined
  • Freezers filled and all doors/lids locked — including outside chest freezer
  • Phones confirmed on Night Mode — check the display
  • Aircon off in every room
  • Treatment room board updated for tomorrow
  • Tomorrow's in-patient food labelled and thawing in fridge
  • All doors locked — do a final walk-through before leaving
Before you leave: Chest freezer outside must be locked. All doors checked. Phones on Night Mode confirmed on display.

End-of-Day Handover

Handover — Closing Shift → Next Day's Opener

When: Before leaving — every day there are in-patients or surgeries scheduled tomorrow.

Format: Treatment room whiteboard updated + OpenVPMS schedule confirmed + group chat message sent.

What goes on the board for each in-patient:

  • Patient name & species
  • Procedure or reason hospitalised
  • Vet responsible
  • Fasting: yes/no — and from what time
  • Any overnight instructions (medications, checks, special feeding)

What goes in the fridge: Any food thawing for tomorrow must be labelled with the patient name — not left unlabelled.

Group chat message: The evening nurse messages the group chat before leaving with the overnight animal count and the required start time for the opener. Wait for acknowledgement from the opening nurse before leaving.

Example: "Overnight 30 Apr: 2 boarders + Ron + 1 post-op (Bella). Morning start: 8am."

Counting rules: Ron is always included · a litter of kittens = one · puppies = counted individually.

If the count is below threshold (fewer than 4 boarding animals AND fewer than 2 hospital patients) — standard 8:30am start. Still send the message so the opener knows what to expect.

Standard: The next day's opener must be able to start morning rounds without asking anyone what is happening with each patient.

Weekend Close

Saturday hours: 9am – 12pm. Closed Sunday and public holidays.

Follow the same close checklist above. Surgery is not scheduled on weekends — skip the surgical items.
